Report on the Progress of the Inspection Form Sub-Committee
The Inspection Form sub committee was formed and instructed to bring the
current form used for yearly unit inspections up to date. After our first
meeting it became abundantly clear that a thorough overhaul of the entire
procedure was needed. This came about after following the current inspection
committee through the procedure of doing inspections when members moved between
residences and also when members moved out. A certain amount of anecdotal
information was also collected that added to our bank of useful information. It
was also decided that during the inspection process this time could also be
spent opening a dialogue between the member, the membership committee and the
maintenance committee to insure any problems are reported to the correct
committee promptly. We also realized that through the inspection process ,
The best interests of both the member and the co-op would be served.
The process we are using includes the following points:
1. That when doing an inspection, the inspection committee must remember that
we are entering a members house and all courtesies that they would expect be
extended to the member.
2. That the purpose of the inspection is to insure that;
(a) The unit is in good repair and the property owned by the co-op is in good
order and has not sustained any damage.
(b) That any repairs required and are the responsibility of the co-op be
carried out in an expedient manner over a designated time frame.

We are currently working in the following directions:
1. when a member leaves a unit, a step by step instruction manual will be
provided with what is expected of the vacating member and what is expected of
the co-op. . Many useful tips will be provided in this manual to make the
members job as easy and efficient as possible.
2. A check sheet for the member to use when competing the various items that
must be done when one is vacating a premise.
3. A unit specific inspection form for the four different size units to make
the inspection teams work easier
4. Training sessions for the inspection team so uniform inspections are
carried out.
Our progress has been slow so that we can be very thorough and insure a
comprehensive manual is produced. When we have the first draft of the manual
completed we will call a general membership meeting to go over the manual, make
any necessary changes and have the manual approved by the general membership. -
